At Ethical Certifications Pvt Ltd, the audit process begins with a detailed review of the client’s application, followed by a contract and audit team assignment based on competence and impartiality. Stage 1 audit is conducted to evaluate readiness, documentation, and scope understanding. Upon successful completion, a Stage 2 audit is scheduled to assess the effective implementation of the management system. Audits are conducted in accordance with ISO/IEC 17021-1 and relevant scheme-specific technical documents. Surveillance audits are performed annually to confirm ongoing conformity, while recertification audits evaluate overall system effectiveness and past performance. Audit findings, non-conformities, and opportunities for improvement are shared with the client through formal audit reports.
Certification at Ethical Certifications Pvt Ltd is granted only after the successful completion of both Stage 1 and Stage 2 audits. The process involves an independent technical review of the complete audit package, which includes the audit plan, non-conformity reports, objective evidence, audit findings, and closure verification of any raised non-conformities. The certification decision is made by a qualified decision reviewer who was not involved in the audit itself, ensuring impartiality. Only when all certification criteria have been met, including legal agreement compliance, impartiality clearance, and positive audit conclusions, is the certificate formally issued and registered.
Certification may be refused when the audit process reveals significant or unresolved non-conformities that affect the conformity of the management system with applicable standards. Refusal also occurs if the organization fails to complete corrective actions within the specified timeframes, shows unwillingness to cooperate with Ethical Certifications personnel, or is involved in unethical practices such as falsifying records or withholding essential information. In such cases, Ethical Certifications issues a formal refusal notice outlining the reasons, and the client has the right to appeal this decision through the documented appeals process.
Certification is maintained through a structured surveillance program that includes annual surveillance audits to verify ongoing conformity and effectiveness of the certified management system. During these audits, Ethical Certifications evaluates the implementation of corrective actions, changes in the organization, continuous improvement activities, and compliance with previous audit findings. Certification can only be maintained if the surveillance audits are completed within the defined timeframe, and there is no breach of contractual obligations, misuse of the certification mark, or failure to meet standard requirements.
Certification renewal occurs every three years through a comprehensive recertification audit. This audit includes a thorough review of the management system’s performance across the certification cycle, including surveillance audit outcomes, client complaints, and internal improvements. The audit is conducted before the expiration of the current certificate to ensure continuity. The decision for recertification follows the same impartial review process as the initial certification. Any major non-conformities must be resolved before recertification can be granted, and failure to do so may result in certificate expiry or withdrawal.
Certification may be suspended in cases of non-compliance such as failure to implement corrective actions, failure to allow audits within the required timeframes, non-payment of fees, misuse of certification marks, or voluntary client requests. During suspension, the client’s certification is temporarily invalidated, and public listings are updated accordingly. The client is formally notified with a specified period within which corrective actions must be taken. Failure to resolve the issue within the suspension period can result in the withdrawal of certification.

Withdrawing Certification
Restoration of certification after suspension is only possible if the client resolves all issues that led to the suspension within the allowable timeframe. A verification activity, either through a desktop review or onsite audit (depending on the nature of the issue), is conducted to confirm resolution. If found compliant, the certification is restored, and the status is updated accordingly in the client registry and all public disclosures. Restoration maintains the original certificate expiry date unless recertification becomes necessary due to timing or audit requirements.
Restoration after Withdrawal requires:
Clients can request an expansion of the certification scope at any point during the certification cycle. The request is reviewed by the Scheme Manager, and an additional audit (partial or full, depending on the complexity and risk) is scheduled to verify the organization’s competence and system effectiveness in the new scope areas. The decision for scope expansion follows the same impartial review process and is documented accordingly. Upon approval, a revised certificate reflecting the expanded scope is issued.
Scope reduction may be initiated by the client voluntarily or enforced by Ethical Certifications if persistent non-conformities or changes in operations affect only a portion of the original scope. The reduction is carefully reviewed and approved by the Certification Manager, ensuring it does not compromise the integrity of the remaining scope. A revised certificate is issued with the reduced scope, and the change is updated in all public listings and client records. Scope reduction is a corrective measure to maintain the validity of certification when full scope conformity is not achievable.
Ethical Certifications Pvt Ltd authorizes certified clients to use its certification mark only in connection with the scope for which certification has been granted, and strictly in accordance with the rules and conditions outlined in our certification agreement and logo usage guidelines. The certification mark is a symbol of conformity and competence, and its use must reflect the certified status of the organization in a truthful and non-misleading manner.
The Ethical Certification mark may be displayed on the following materials:
1. Stationery: This includes letterheads, compliment slips, labels, invoices, etc. The mark can also appear on business cards, provided it remains clearly legible.
2. Advertising Materials: The mark may be used in posters, TV ads, promotional videos, newsletters, and brochures. It can also be featured on the company’s website but should not appear on pages that promote products or services not covered by the certification.
The Ethical Certification mark may NOT be used on the following:
1. Test and Calibration Reports and Certificates.
2. Product Publicity Information: This includes notices, labels, documents, or any written announcements attached to or appearing on goods or products. This restriction also extends to primary packaging (e.g., blister packs).
3. Company Training Certificates
Additionally, clients must not make any statement regarding their certification that could be considered misleading, ambiguous, or unauthorized. Any form of misuse, including continued use of the certification mark after suspension, withdrawal, or expiry of certification, will lead to immediate corrective actions, which may include suspension or withdrawal of certification and legal recourse if necessary.
All certified clients are provided with a Logo Usage Policy. Ethical Certifications Pvt Ltd monitors the correct use of its certification mark during surveillance audits and public media scans. If misuse is identified, the client will be notified in writing and required to take immediate corrective action.
Complaints Handling Process:
Any individual or organization may lodge a complaint against Ethical Certifications Pvt Ltd, our auditors or one of our certified clients. Complaints may relate to unethical/unprofessional behavior of auditors, non-compliance with certification requirements, misuse of certification marks, or dissatisfaction with our services. Complaints can be submitted via email, phone, written letter, or through the contact form available on our website.
Once a complaint is received, it is acknowledged in writing within 2 working days. The complaint is reviewed by a person or panel not involved in the subject of the complaint, ensuring impartiality. A thorough investigation is conducted, which may involve collecting further evidence, interviewing parties involved, or conducting follow-up audits where necessary. All complaints are handled confidentially, and the complainant is informed of the outcome in writing within 30 days. If the complaint relates to a certified client, Ethical Certifications may request the client to respond or take corrective action, and their response will be evaluated as part of the resolution.
The outcome of the complaint may result in actions such as suspension or withdrawal of certification, client advisories, or procedural updates. All complaints and their resolutions are logged and reviewed periodically to identify trends or improvement opportunities.
Appeals Handling Process:
Clients have the right to appeal against decisions made by Ethical Certifications Pvt Ltd, including decisions related to certification refusal, suspension, withdrawal, or scope reduction. Appeals must be submitted in writing within 15 calendar days of the notification of the decision.
Upon receipt of the appeal, an acknowledgment is sent, and the appeal is registered. The appeal is then reviewed by Impartiality Committee comprising senior personnel who were not involved in the original certification decision or audit activities. The panel may request additional information from the appellant and the original audit team and may conduct an impartial review of all related documents.
A final decision on the appeal is communicated to the appellant in writing within 30 calendar days from the date of acknowledgment. All decisions by the Impartiality Committee are considered final. Throughout the process, Ethical Certifications ensures that no discriminatory action is taken against the appellant regardless of the outcome.
